Before your marketing can launch, a few key steps need to happen. Your campaign can’t move forward until your contract is signed, payment is processed and we have the right access and materials in place.

5 steps to launching your Zoe, Metro Parent or Chicago Parent campaign
1. Sign the contract
You’ve had the meetings, reviewed the proposal and decided to move forward. Now, it’s time to finalize the agreement.

- Who signs it? A key decision-maker, such as a marketing director or CEO.
- Who do we inform? Your marketing strategist, who will enter details into our system.
- How do we sign? Your contact will receive an email with a “Click Here to Approve Order” button. They’ll sign digitally and submit:


- How fast? Within one business day — this step is required before we can share ad specs and deadlines.
2. Make the payment
Finance approval is the next big step.

- Who handles it? Your accountant, finance manager or designated payer.
- How do we pay? Options include check, credit card or ACH (bank transfer).
- How soon? Within 1-2 business days to keep things on track.
- Payment confirmation? Yes, you’ll receive a receipt via email.
3. Grant analytics access
We track your campaign’s success using Google Analytics (GA4).

- Who grants access? Your marketing specialist or GA4 admin.
- How? In GA4, go to Admin → Account Access Management → Add “webteam [at] thezoeteam [dot] com” as a Viewer. (See more details here.)
- Why? This lets us monitor key metrics and ensure your campaign is performing optimally.
4. Establish ad material contacts
Your marketing team will need to coordinate with us on ads and campaign assets.

- Who’s responsible? Typically your marketing associate or agency rep.
- What happens next? Once payment is confirmed, you’ll hear from our marketing analyst within one business day.
- How fast should we send assets? Fill out your ad intake form immediately (within a week max). Digital ad assets are due about three weeks before launch; content surveys are due within 1-2 business days.
5. Determine content creation details
If your plan includes content, we’ll need input from you.

- Who’s involved? A marketing associate or agency account executive.
- Who reaches out? Our content editor will guide you through topics, sources and deadlines.
- Timeline? Expect an email about a month before digital content goes live, or two months in advance for print content.
